Returning to campus technology tips

As we return to working in person, what once was common practice may not be as familiar. In an effort to assist you with the transition, please see the following technology tips. As always, should you have specific questions, please do not hesitate to contact the IT Helpdesk.

Teams/Zoom meetings

If you plan to attend a Teams or Zoom meeting and participate with video, you will need a webcam on the device used. Example: You borrowed an LLCC laptop with a built-in webcam while working off campus. Your office PC may not be equipped with a webcam; you should check for this prior to your next scheduled meeting that a webcam is needed for. Audio can be accessed by following the application dial-in options.

OneDrive

You saved documents to a borrowed LLCC laptop and now you need to access these from your office workstation. Please sign into OneDrive on the web and upload any saved documents from the laptop.

Phone

Your office phone shows an X next to your name, another error or does not have a dial tone. Restart your office phone by pressing the Menu button, then selecting Maintenance and Reboot. Restart your office workstation after the phone issue has been resolved. See the Skype Phones page on the IT Portal for more details, or contact the IT Helpdesk for further assistance.

MFP

Printing to an MFP – if you have changed your password at any time, you must change your password in the Job Handling tab within Printing Preferences. An indication of an incorrect password will be that the MFP acts as if the print job will release, but does not and no jobs are waiting in the print queue.

Printing a PDF to an MFP – if you open a document in PDF format and rather than opening in Adobe Acrobat Reader or Pro, if this opens in an Internet Browser, do not proceed. Please contact the IT Helpdesk for assistance with setting the default app to open with Adobe.

PC

If it has been some time since your computer has been restarted, and the system is performing poorly, it is recommended that you either shutdown or restart your workstation. If you had an issue and your phone was restarted, you should restart your office computer as well.

When requesting assistance from the IT Helpdesk, you can contact us by submitting a ticket in KACE (all tickets should initiate with the IT Helpdesk queue), email a question, request or to report an issue, call us during our scheduled hours or stop by in person. We’re located right outside of the library main entrance in Sangamon Hall. Please visit our website for assistance with online accounts, WiFi, email, our IT channel on YouTube and information on cybersecurity, or visit the IT page on the Employee Portal.

Welcome Kyle Roughan

Kyle RoughanKyle Roughan, recently began work as LLCC’s student engagement coordinator. Previously, he worked as a residence director for University of Illinois Springfield. He earned a master’s degree in college student personnel from Arkansas Technical University and a bachelor’s degree in sociology with a minor in women and gender studies from Eastern Connecticut State University. Congratulations to Casey Hoenes, assistant professor of nursing, and his wife on the recent birth of their son. Baby Wade was born on May 24, 2021, and all are happy and healthy. Congratulations, Hoenes family!

Benefits enrollment assistance

If you would like assistance with the new benefit enrollment system, HR staff will be available to assist at an open lab. You may stop in at any time during the open lab time period for assistance.

As a reminder, the deadline to complete open enrollment for your FY2022 benefits is just around the corner on June 10. If you have completed your open enrollment, thank you! If you have not, please do so as soon as possible.

To access the benefit enrollment system, please go to the HR Portal using the link below. You will then click on the PlanSource Benefit Enrollment Platform icon at the top of the page. You will be asked to provide your LLCC email address and email password as a means to log into the system. You will then click on the orange “Get Started” or “Continue Enrollment” button to begin. The system will walk you through each benefit, in order. Best practice is to follow the system workflow.

LLCC Agriculture and the new Kreher Agriculture Center will be featured on the PBS program “Illinois Stories” today, June 3, at 7 p.m. and Monday, June 7, at 6:30 p.m. Host Mark McDonald interviewed Dr. Charlotte Warren, president; Bill Harmon, professor of agronomy; and several agriculture students.

Our sympathy to family and friends of June Rutherford

Our sympathy to family and friends of June Rutherford, former LLCC secretary for the vice president, academic services, who passed away May 30. She was one of the first employees at LLCC in 1968, and later returned to the college to work from 1977-1994. Visitation will be held from 10 a.m. until the time of the funeral service (noon) at Auburn United Methodist Church. Burial will be in Auburn Cemetery. Read the obituary.

SmartCatalog maintenance scheduled June 3, 10 p.m.

As a reminder, SmartCatalog will be undergoing approximately three hours of scheduled maintenance today, June 3, beginning at 10 p.m. CT as part of the system’s migration to Amazon Web Services. During this time, LLCC’s catalog site will be live, but users may experience some slowness while interacting with it. In addition, you will be unable to log in to SmartCatalog during this time to make changes to the catalog, curriculum and syllabi.

Assist students at the Welcome Week table

LLCC Public Relations and Marketing would appreciate your assistance during Welcome Week! PRM is looking for volunteers to assist at the welcome table in A. Lincoln Commons June 7-10 during the first week of summer classes. Help students get a great start to the summer semester by greeting them, answering their questions and providing directions! An FAQ reference sheet will be on the table along with highlighters to help in marking students’ routes to their classes. Because social distancing may not be possible when providing assistance to students, we ask those fully vaccinated to consider volunteering as greeters.
